Job Description: Facilities Manager - Real Estate and Property Management
Position Overview:
The Facilities Manager is responsible for overseeing and maintaining the physical assets and facilities of our real estate and property management company. This role requires exceptional organizational skills, strong leadership abilities, and a keen eye for detail. The Facilities Manager ensures that all properties under our management are well-maintained, fully operational, and comply with relevant regulations and safety standards.
Key Responsibilities:
1. Develop and implement comprehensive facility management plans, policies, and procedures to ensure efficient operations and maintenance of all properties.
2. Identify and address facility-related issues promptly, including repairs, maintenance, and renovations, to minimize downtime and maximize tenant satisfaction.
3. Collaborate with property owners, tenants, and vendors to manage and coordinate facility-related activities, including inspections, repairs, cleaning, and landscaping.
4. Oversee the selection, hiring, training, and performance evaluation of facility maintenance staff, ensuring they possess the required skills and competencies.
5. Develop and manage budgets for facility operations, maintenance, and capital improvement projects, ensuring cost-effective allocation of resources.
6. Conduct regular inspections of properties and identify potential risks or areas of improvement to maintain compliance with relevant regulations, safety standards, and building codes.
7. Implement preventive maintenance programs to extend the lifespan of facilities and equipment, optimize energy efficiency, and reduce operational costs.
8. Negotiate and manage contracts with service providers, suppliers, and vendors to ensure timely and cost-effective delivery of required services and materials.
9. Monitor and evaluate the performance of contractors and service providers to ensure high-quality work, adherence to contract terms, and compliance with relevant regulations.
10. Stay updated with industry trends, best practices, and emerging technologies to enhance facility management processes and implement innovative solutions.
Required Skills and Qualifications:
1. Bachelor's degree in facility management, real estate, business administration, or a related field.
2. Proven experience (X years) in facility management, preferably in a real estate or property management setting.
3. Strong knowledge of building systems, maintenance practices, and regulatory requirements.
4. Excellent leadership and interpersonal skills to effectively manage staff, tenants, and external stakeholders.
5. Exceptional organizational and multitasking abilities to handle multiple projects simultaneously and meet deadlines.
6. Proficient in budgeting, financial analysis, and contract management.
7. Strong problem-solving and decision-making skills with a high level of attention to detail.
8. Excellent communication skills, both written and verbal, to effectively interact with individuals at all levels.
9. Proficiency in computer applications and facility management software.
10. Ability to work independently and collaboratively as part of a team.
